Privacy Policy

HostOps (“we”, “us”, or “our”) is built by ResponseOps LLC. We take privacy seriously — not in a legal-boilerplate way, but in a genuine “we’d be embarrassed to misuse your data” way. This policy explains what we collect, why, and what we do (and don’t do) with it.
What we collect
We collect three categories of data:
Property manager information
When you create an account, we collect your name, email address, and password. If you add billing information in the future, that’s processed by our payment provider — we don’t store raw card data.
Property information
Details you provide about your properties — check-in instructions, house rules, appliance guides, WiFi passwords, local recommendations, and anything else you add to train your AI concierge. This is the core of what makes HostOps work.
Guest conversation data
When guests interact with your HostOps concierge, we store those conversation logs. Guests typically interact without creating an account — we don’t collect their name or email unless they voluntarily provide it during a conversation. We may store a session identifier to maintain conversation continuity.
How we use your data
- →To operate the AI concierge — guest messages are sent to our AI provider to generate responses based on your property knowledge base.
- →To improve the service — we review conversation patterns (not individual chats) to make the AI smarter and the product better.
- →To send you product updates, usage summaries, and occasional important notices. You can opt out of marketing emails anytime.
- →To troubleshoot issues — if something breaks, logs help us figure out why.
Third parties we work with
We use a small set of trusted infrastructure providers. We don’t sell your data to anyone.

Each provider has their own privacy policy and security practices. We chose these because they’re reputable, SOC 2 compliant, and widely trusted in the industry.
Guest data handling
Guests who interact with your HostOps concierge are your guests — not ours. We process their conversation data on your behalf to power the AI responses. We don’t use guest conversations to build marketing profiles, sell to them, or contact them directly. If a guest asks you to delete their conversation history, contact us and we’ll make it happen.
Data retention
We keep your account data and property information for as long as your account is active. Guest conversation logs are retained for 12 months by default to support analytics and troubleshooting. When you close your account, we delete your data within 30 days — except where we’re legally required to keep records longer.
We don’t sell your data
Full stop. We don’t sell, rent, or trade your personal information or your guests’ information to third parties for their marketing purposes. Our business model is subscriptions, not data brokerage.
Your rights
You can access, update, or delete your account data at any time from your dashboard settings. If you want a full export of your data or need help with deletion, email us and we’ll sort it out.
Changes to this policy
If we make significant changes, we’ll let you know by email before they take effect. Minor updates (typos, clarifications) may happen without notice. The “last updated” date at the top always reflects when this was last changed.
